Privacy Policy

Last updated: September 17, 2026

Ovid Org ("Ovid Org," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have. It applies to our website at ovidorg.org, our community initiative Experience Springfield Township, and the technology and communication services we provide to nonprofits and businesses ("clients") that we build websites, apps, and programs for.

Information we collect

We collect information you provide directly to us, such as when you fill out a contact or consultation form, subscribe to communications, or opt in to receive text messages. This may include your name, organization, email address, phone number, and the contents of your message.

Our hosting and email providers may process technical information such as IP address, browser type, request time, and security logs to deliver and protect the website. Our pages load fonts from Google Fonts, which receives browser requests. We use Cloudflare for website delivery, consultation form processing, abuse prevention, database storage, and email sending. Consultation requests and text preferences are stored in Cloudflare D1. After a request is stored, an email notification with its receipt identifier is attempted to our support inbox; a notification failure does not erase the stored request. The administrative view is protected by Cloudflare Access and restricted to an authorized administrator. Cloudflare Access uses necessary session cookies when that administrator signs in. Those administrator cookies are separate from the public website's cookie-preference record, which uses local storage. Our mailbox provider processes and stores any notification it receives. New consultation requests are not sent through Formspree.

The cookie-preference control stores a versioned record of your necessary, analytics, and advertising-measurement choices in your browser's local storage when that storage is available. This record stays on your device and includes the choices, policy version, and time saved. It is used only to remember your settings and is not sent to Ovid Org or an advertising platform. Cookie preferences do not appear in Cloudflare D1, the support email, or the administrative view.

When we provide services on behalf of a client, we may process information supplied by that client or collected through the client's website, app, or program. In those cases, the client is the controller of that data and their own privacy policy governs its use; we act as a service provider under their instructions.

Website analytics and advertising

Ovid Org does not currently load Google Analytics, Google Tag Manager, Google Ads measurement tags, the Meta Pixel, Meta Conversions API, or other optional advertising trackers on this website. We do not currently create advertising audiences from visits to ovidorg.org. The preference control does not activate tracking by itself, and choosing an optional category causes no network request while those tools are not deployed.

If optional analytics or advertising measurement is introduced later, we will update this notice to identify the tools and purposes, require a new version of your choice when appropriate, and keep analytics and advertising measurement as separate optional settings. Advertising personalization will remain off unless this policy and the control are separately changed after review. Rejecting or withdrawing optional choices will not prevent access to the website, consultation form, or public resources.

Client and case-study information

Our case studies may describe work performed for nonprofit clients and link to their websites. We do not use client recordings, audio playback, transcripts, personal stories, participant or student details, contact information, SMS choices, or consultation free text for website analytics or advertising. Client-provided information is used only within the applicable engagement and permissions; a public case study does not make a client's beneficiary or program data available for unrelated marketing.

How we use information

  • To respond to your inquiries and provide consultations and services.
  • To deliver, maintain, and improve our websites, apps, and programs.
  • To send communications you have requested, including email and SMS messages.
  • To operate the Experience Springfield Township community initiative.
  • To comply with legal obligations and protect our rights and users.

SMS and text messaging

When you select an SMS preference, we collect your mobile number, the account/service and marketing choices separately, the consent disclosure version, the form source, and the submission record. We use those records to document your choices and manage the requested program. A submitted preference is not confirmation that messaging has started. We may also process message content, delivery status, help requests, and opt-out records when messaging is active.

We do not sell, rent, or share mobile phone numbers, text messaging originator opt-in data, or SMS consent with third parties or affiliates for marketing or promotional purposes. No general sharing provision in this policy permits that use. We disclose this information only to service providers that help collect, document, or deliver the requested messaging service, such as our form processor and messaging provider Twilio, as necessary for that service, or when required by law. It is not provided to other clients as a marketing list.

Ovid Org account/service texts and Ovid Org marketing texts are separate choices. Enrollment does not subscribe you to Experience Springfield Township or any client program. Client programs identify their own sender and publish their own privacy notice and consent language. For message types and choices, see our SMS Terms & Conditions.

How we share information

We do not sell your personal information. We may share information with trusted service providers, such as hosting, database, email, and SMS or messaging providers like Twilio, who process data on our behalf and only as needed to provide the applicable service. This sharing is operational only and does not authorize those providers to use inquiry or consent information for their own marketing. We may also disclose information if required by law or to protect the safety, rights, or property of Ovid Org, our clients, or others. We do not currently share website analytics or advertising-event data with Google or Meta because those optional tools are not deployed.

Data retention

Ordinary inquiry records, including the D1 record and support-mailbox copy, have a provisional retention target of 12 months. An authorized administrator reviews those records manually against that target; automatic deletion is not yet enabled, so 12 months is not a guaranteed deletion date. SMS consent and opt-out evidence is handled separately while we complete and review a record-retention policy for those records. We do not represent that SMS evidence is retained forever or claim a fixed legal minimum that has not been established. Some information may need to be retained longer to provide services, comply with legal obligations, resolve disputes, enforce agreements, or document and honor an opt-out. You may request access, correction, or deletion by contacting us below, subject to those needs.

Your choices and rights

You can open Cookie Preferences from the footer to accept, reject, save, or withdraw optional website preferences. Your browser may prevent local storage or clear it, in which case the site may not remember the choice. Withdrawing a choice controls future optional use on this site; it cannot undo processing that already occurred. No optional analytics or advertising tracking is currently deployed.

Cookie preferences are separate from communication choices. You can opt out of marketing emails using the unsubscribe link and opt out of text messages by replying STOP to the sending number. You can also ask us to stop texts by emailing steve@ovidorg.org with the number concerned; we may verify your authority to protect your information. We honor clear requests to stop. Depending on where you live, you may have rights to access, correct, or delete your personal information, or to object to certain processing. Use the same email address to make a privacy request.

Data security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children's privacy

The Ovid Org website and consultation service are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. A case study may describe a client program serving young people, but that does not authorize Ovid Org to collect participant information or use it for advertising. If you believe a child has provided us information through this website, please contact us so we can review and address it.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here with a revised "Last updated" date.
